About the role
Key responsibilities & impact- Maintain and organize business financial records in QuickBooks
- Record, categorize, and monitor business income and expenses
- Review financial transactions for accuracy and completeness
- Maintain accurate and up-to-date financial information
- Track accounts, expenses, payments, and other financial activities
- Assist with reconciliations and identify discrepancies or missing information
- Organize financial records and supporting documentation
- Prepare basic financial reports and summaries as requested
- Monitor financial activity and flag unusual or outstanding transactions for review
- Organize and track the client's personal financial information
- Maintain records of personal financial transactions and documentation
- Organize receipts, statements, and supporting financial documents
- Maintain spreadsheets or other financial tracking systems
- Keep business and personal financial information organized and separated
- Organize financial records and documentation needed for tax preparation
- Compile income, expenses, receipts, statements, and other relevant financial information
- Maintain tax-related trackers and supporting documentation
- Assist with identifying missing records or documents needed for tax preparation
- Coordinate information and documentation with the client's tax professional or accountant
- Support year-end financial organization and tax-preparation activities
- Maintain financial tracking spreadsheets and reports
- Update financial information regularly and ensure records remain organized
- Track business and personal financial activity as directed by the client
- Identify discrepancies, missing information, or unusual transactions and bring them to the client's attention
- Provide organized summaries of financial information when requested
- Help improve and maintain efficient financial tracking processes
- Review financial or customer information within Housecall Pro, if required
- Cross-reference relevant business transactions between Housecall Pro and QuickBooks
- Identify discrepancies or missing information between systems
- Maintain accurate financial records based on Housecall Pro information
- Provide administrative and financial support for tax preparation without independently providing tax advice or making tax-related decisions unless appropriately qualified and authorized
- Perform services professionally according to agreed timelines, guidelines, and deliverables
- Work 10 hours per week, Monday through Friday, with flexible PST scheduling
- Operate under a Master Services Agreement and Statement of Work
Requirements
What you’ll need- Intermediate to Senior-level finance, bookkeeping, or accounting experience preferred
- Strong QuickBooks experience required
- Experience with financial tracking and reporting required
- Experience supporting tax preparation strongly preferred
- Bookkeeping or accounting experience preferred
- Experience managing both business and personal financial records is a plus
- Housecall Pro experience is a plus
- Strong spreadsheet skills required
- Excellent attention to detail and accuracy
- Ability to handle confidential financial information professionally
- Experience working independently in a remote environment preferred
- Experienced in bookkeeping, financial administration, or accounting support
- Strong hands-on experience with QuickBooks
- Detail-oriented and highly organized
- Comfortable handling confidential business and personal financial information
- Strong attention to accuracy when working with financial records
- Able to identify discrepancies and missing information
- Comfortable working independently with minimal supervision
- Proactive in following up on incomplete or missing financial documentation
- Strong organizational and time-management skills
- Able to maintain clear and organized financial trackers
- Comfortable learning and working across multiple financial and business systems
- Good written English communication skills
