About the role
Key responsibilities & impact- Receive, review, and log incoming subpoenas and related legal documents
- Evaluate subpoenas for basic compliance with applicable laws and regulations
- Coordinate document and information gathering in response to subpoenas
- Review gathered documents for privileged content and redact as necessary
- Track subpoena status and deadlines, requesting extensions when necessary
- Prepare and send responses or objections as required
- Collaborate with outside counsel on high-priority subpoenas, including government agency subpoenas
- Assist in-house litigation counsel with investigations regarding falsified Certificates of Insurance claims
- Support AI integration initiatives in litigation management processes
- Assist with Early Case Assessment using AI-powered platforms, including Harvey AI
- Conduct AI-assisted legal research and identify relevant case law, statutes, and regulatory guidance
- Draft, edit, and refine litigation documents, including demand letters, discovery responses, motions, and settlement correspondence
- Use AI-driven tools for document review, privilege screening, and contract analysis
- Synthesize case facts, generate case summaries, and prepare briefing materials for attorney review
- Support the RFP process for retaining outside counsel using Persuit and other platforms
- Monitor the CSC database for service of legal documents and coordinate timely responses
- Maintain organized digital case files and accurate real-time matter updates
- Coordinate with external legal counsel and internal clients
- Coordinate document collection with agency partners, internal departments, and IT
- Coordinate IT forensics and electronic discovery activities
- Ensure accurate collection, preservation, and production of electronic evidence
- Maintain lawsuit and legal documentation records using legal software such as Team Connect
- Generate reports, presentations, and materials for management review
- Process settlement payments and coordinate with Accounting
- Schedule meetings and appointments with internal clients and outside counsel
- Review outside counsel invoices and timekeeping submissions
- Draft, edit, and format legal documents and correspondence as directed by attorneys
- Facilitate communication with business clients, external parties, outside counsel, and vendors
- Provide professional and prompt customer service
- Coordinate with agency partners and issuing counsel on subpoena-related matters
Requirements
What you’ll need- Strong analytical and problem-solving skills
- Excellent written and verbal communication abilities
- Detail-oriented with the ability to manage multiple tasks and priorities in a fast-paced environment
- Collaborative team player with the ability to exercise independent thinking and sound judgment
- Proficiency in Microsoft Office Suite
- Proficiency in legal research tools such as Westlaw and LexisNexis
- Proficiency in litigation management platforms
- Proficiency in AI-powered technology tools such as Harvey AI and Copilot
- Bachelor’s degree in Paralegal Studies, Legal Studies, or a related field
- Prior experience as a legal assistant, paralegal, or related role in the legal field is strongly preferred
- Experience with law department case management systems and litigation reporting
- Experience using AI-powered legal tools or platforms for research, drafting, or document review is highly desirable
- Comfortable with an on-site presence to support collaboration, team leadership, and cross-functional partnership
