About the role

Key responsibilities & impact
  • Enter and categorize business transactions in QuickBooks Online, tying each transaction to the correct client or account
  • Reconcile bank and credit card statements and resolve discrepancies with supporting documentation
  • Generate and deliver client invoices in MyJunna according to the monthly billing cycle
  • Follow up on outstanding balances and monitor accounts receivable
  • Maintain organized client billing status and payment history records
  • Monitor bank accounts, credit cards, and care manager expense cards for unauthorized charges or unusual activity
  • Coordinate monthly financial-record reviews with the bookkeeper and report outcomes to the owner
  • Respond to client and family billing inquiries and redirect clinical questions appropriately
  • Process payroll using QuickBooks Payroll, including direct deposit, on each scheduled pay date
  • Maintain payroll records and support timely, compliant payroll tax filings
  • Prepare regular financial reports for the owner, including profit and loss and account summaries
  • Maintain accountant-ready records for tax preparation and annual filings
  • Provide scheduling, correspondence, and other administrative support to the owner
  • Complete required documentation, reports, and owner check-ins accurately and on time
  • Assist with occasional local errands and light administrative tasks
  • Support special projects, process documentation, and vendor or account correspondence
  • Follow financial authority limits and escalate restricted decisions to the owner

Requirements

What you’ll need
  • Working knowledge of QuickBooks Online, including basic bookkeeping and data entry
  • Comfortable following an established invoicing/billing process; prior billing experience is helpful but not required
  • Experience processing payroll for a small team
  • High school diploma or equivalent
  • Based in or near the Jupiter area
  • Dedicated home workspace with reliable internet
  • Ability to handle sensitive financial and client-related information in compliance with HIPAA
  • Ability to maintain accurate, organized, accountant-ready financial records
  • Familiarity with client billing/invoicing software beyond QuickBooks is preferred
  • Prior experience with MyJunna or a similar client management/billing platform is preferred
  • Prior experience in home care, care management, or a healthcare-adjacent industry is preferred
  • Must comply with HIPAA, client confidentiality, company device and data policies, and PBCM operational and professional standards
  • Must complete a Florida Level 2 fingerprint background screening where applicable
  • Reliable, organized, detail-oriented, and comfortable with structured, repetitive daily work
  • Clear, professional written and verbal communication
  • Trustworthiness with sensitive financial and client-related information
  • Comfortable receiving direction and feedback
  • Ability to recognize matters outside the role’s authority and escalate them to the owner
  • Comfortable using QuickBooks
  • Ability to sit and use a computer and standard office equipment for extended periods
  • Local travel availability for occasional errands or in-person tasks
  • Visual and hearing acuity sufficient to review financial documentation and communicate effectively
