About the role
Key responsibilities & impact- Proactively manage team calendars and coordinate schedules across internal and external stakeholders
- Plan and deliver meetings, conferences, events and team offsites, including logistics, materials and travel coordination
- Review and respond to emails on behalf of leaders when appropriate, identify priorities and flag follow-up items
- Coordinate domestic and international travel arrangements
- Prepare timely, accurate expense reports and invoices
- Create and edit presentations, communications and other materials supporting leadership and team priorities
- Support department operations, including recognition programs, timekeeping, budget coordination and supply management
- Provide project and program support by researching questions, coordinating activities and responding to ad hoc requests
- Onboard and mentor administrative team members and provide guidance or leadership to colleagues when needed
- Provide reliable back-up support for other administrative assistants
Requirements
What you’ll need- 1 to 3 or more years of administrative or support experience; experience working in a corporate environment preferred
- High school diploma or General Educational Development (GED) credential required
- Associate or bachelor’s degree, or equivalent experience, preferred
- Strong proficiency in Microsoft Word, Excel, PowerPoint and Outlook
- Experience using Concur, Ariba or similar business tools
- Ability to manage multiple priorities, adapt quickly and remain organized in a fast-paced environment
- Sound judgment and ability to anticipate needs, solve problems and work effectively with minimal direction
- Clear, professional communication skills and ability to collaborate effectively with internal and external stakeholders
- High level of discretion, professionalism and care when handling sensitive or confidential information
- Ability to support colleagues and contribute positively to a collaborative administrative team
- Valid U.S. work authorization that does not now, or in the future, require visa sponsorship for employment in the United States
