About the role

Key responsibilities & impact
  • Provide comprehensive and high-level administrative support to the Executive Director, Patient Access and Executive Director, Hub Services within the Rare Disease Business Unit Patient Access organization
  • Manage complex calendars for multiple Executive Directors across multiple time zones
  • Coordinate business travel logistics, including flights, hotels, ground transportation, and expense reports
  • Apply and maintain knowledge of Amgen policies and procedures related to travel, onsite meetings, purchasing, and administrative support
  • Support preparation and scheduling for executive programs, recurring meetings, all-staff meetings, and large forums
  • Coordinate logistics for large meetings, including room setup, AV support, catering, and onsite or virtual meeting needs
  • Prepare and coordinate team communications, including new-hire announcements and business updates
  • Manage special projects, event coordination, and team-building activities
  • Maintain distribution lists and organizational charts
  • Order office supplies and manage purchasing through MyBuy or approved systems
  • Schedule interviews and coordinate related logistics
  • Use Outlook, Microsoft Teams, Concur, MyBuy, SharePoint, and emerging AI tools to improve workflows
  • Serve on the RDBU Patient Access administrative team and provide backup support as needed

Requirements

What you’ll need
  • Associate’s degree and 2 years of administrative experience OR 2 years in a technical school setting with hands-on experience OR high school diploma / GED and 4 years of administrative experience
  • Strong attention to detail
  • Ability to multi-task
  • Proficiency in MS Office programs
  • Excellent verbal and written communication skills
  • Proficiency in Outlook, Microsoft Teams, Concur, MyBuy, and SharePoint
  • Demonstrated interest in adopting emerging AI tools, such as ChatGPT
  • Ability to manage multiple priorities effectively in a fast-paced, dynamic environment
  • Ability to maintain confidentiality, integrity, and discretion when handling sensitive information
