About the role
Key responsibilities & impact- Take responsibility for administering a client portfolio and providing high-quality customer service
- Work closely with the management team while servicing offshore-based clients
- Manage client requests, reporting, queries, and communications
- Assist with organizing and supervising income distribution and ongoing administration processes
- Ensure subscriptions, redemptions, and transfers are completed against monthly SLA deadlines
- Monitor client and fund manager emails and resolve queries promptly
- Coordinate regulatory obligations and administration requirements within deadlines
- Follow customer-specific administration and reporting procedures
- Assist accountants with audit planning and annual statutory financial statement filings
- Build understanding of client portfolios, entity requirements, and applicable statutory regulations
- Assist with bank account openings and coordinate AML/KYC requests
- Assist with payment transactions for the client portfolio
- Arrange and attend board meetings, prepare minutes, and maintain records and logs
- Prepare and implement customer-specific governance and reporting procedures
- Prepare documentation for signature and complete ad hoc administrative tasks
- Ensure adherence to internal policies, controls, systems, and deadlines
- Liaise with lawyers, auditors, bankers, tax advisors, and alternative investment fund managers
- Build client relationships, respond to requests, and manage client expectations
Requirements
What you’ll need- At least 2+ years of experience in a fund administration role or relevant experience within financial services or law
- An LLB, BCom, or a relevant business qualification is essential
- Experience in corporate solutions, fiduciary services, legal work, or in-house company secretarial roles is advantageous
- Proficiency in Microsoft Office (Word, Excel and Outlook)
- Knowledge of the regulatory environment relating to fund management
- Willingness to adapt, learn, and work with a team
- Excellent written and verbal communication skills
- Basic understanding of AML requirements
- Working knowledge of Company Law and Corporate Governance is advantageous
- Excellent organizational skills
- Excellent attention to detail and accuracy
- Ability to obtain data from multiple sources and interpret it accordingly
- Ability to work in a team environment, including with colleagues in other jurisdictions
- Being an admitted attorney would strengthen the application
- Strong academic background in Chartered Secretary, Corporate Governance, Compliance, or similar fields is desirable
