About the role

Key responsibilities & impact
  • Process sponsorships and charity paperwork, preparing and tracking documentation under the manager’s direction.
  • Coordinate ad and collateral production by opening and managing production tasks, routing work to the design team, tracking edits, and filing finished assets in the brand asset library.
  • Process invoices and payments, follow up on payment status, and log spend against the correct budgets.
  • Handle event logistics, including tracking registrations, formatting attendee lists, coordinating booth and conference orders, updating event calendars, and supporting onsite collateral production.
  • Manage CRM lists and data by loading and cleaning lists, reconciling pre- and post-event lists, and running contact and list pulls from approved data sources.
  • Pull recurring pipeline, ROI, and growth-input reports for U.S. teams.
  • Work under the manager’s direction as the execution engine of the offshore team.

Requirements

What you’ll need
  • Two or more years in a marketing coordination, marketing administration, or operations support role.
  • Comfort with data entry and list management in a CRM or marketing automation platform (HubSpot a plus) and with a project management tool.
  • Strong attention to detail, especially with numbers, lists, and documents.
  • Clear written and spoken English, and reliable, organized follow-through on routine tasks.
  • A dependable, service-minded attitude and care for accurate, tidy work.
  • Amenable to a hybrid work arrangement (2 days onsite and 3 days WFH), with full-time onsite work required during the first 2 months.
  • Amenable to working on a night shift schedule (8pm - 5am PHT).
