About the role
Key responsibilities & impact- Support Aquifer's network of 200+ health professions educators
- Manage Consortium activities and support curriculum development processes
- Act as the key liaison for integrated curriculum development activities
- Maintain effective communication across volunteer educators
- Coordinate and attend monthly remote working meetings and activities
- Maintain meeting attendance and volunteer satisfaction tracking systems and provide monthly progress reporting
- Onboard new Consortium members, including access to Aqueduct content authoring and editing software
- Support development and distribution of Consortium newsletters and updates
- Manage schedules, travel arrangements and expense reporting for staff attending national meetings and Wellspring
- Coordinate Aquifer's presence at national health professions education conferences, including exhibit booth and marketing materials logistics
- Coordinate logistics for Consortium national meetings and events, including agendas, scheduling, catering, room reservations and follow-up
- Support planning and execution of Wellspring, Aquifer's Annual Meeting
- Attend remote events to set up and assist in facilitating Consortium meetings and booth activities
- Develop, implement, maintain and improve Consortium Operations SOPs, leveraging AI and other tools as appropriate
- Track expenses for Consortium and national partnership activities, conferences and events
- Track and report Consortium operations, feedback and metrics
- Maintain accurate records of Consortium membership, contacts and contracts
- Collaborate with the staff accountant to process contracts, honoraria and administrative documentation
- Assist the Chief Learning Officer with communications and administrative needs
- Support Consortium-related projects
- Write and distribute contracts and Letters of Acknowledgement for consortium and contributor staff
- Track and report consortium and contributor publications in Monday.com
Requirements
What you’ll need- Bachelor's degree required; degree in education, health care administration, or related field preferred
- 2-4 years of experience in program coordination, preferably in higher education or health care
- Strong organizational, project management, and time management skills
- Excellent communication and interpersonal abilities
- Proficiency with Google Suite, virtual meeting platforms (e.g., Zoom) and project management (e.g., Monday, Asana) tools
- Ability to work effectively with subject matter experts and diverse stakeholders
- Detail-oriented with the ability to multitask in a dynamic environment
