About the role
Key responsibilities & impact- Process customer orders accurately and efficiently using internal systems and tools
- Handle invoicing and related administrative procedures in a timely manner
- Provide customer support by email and phone in German regarding orders, shipments, invoices, and other operational inquiries
- Coordinate with Warehouse and internal teams, proactively monitor and follow up on open orders, and communicate delays or issues to customers and internal stakeholders
- Escalate operational issues or customer concerns to the appropriate internal stakeholders when necessary
- Coordinate order changes, cancellations, and returns, while ensuring that order, shipment, and invoice information is complete and accurate
- Maintain accurate customer data and documentation in internal systems, including customer registration and order-related updates
- Support day-to-day operational activities and assist team members when needed
- Participate in regular team meetings and collaborate with cross-functional teams in an international environment
Requirements
What you’ll need- Fluent in German and strong command of English, both written and spoken
- Good understanding of German business culture and customer expectations
- Good knowledge of Microsoft Office, especially Excel, including pivot tables and basic formulas
- Strong customer-oriented mindset with a focus on accuracy and quality
- Ability to process data quickly and accurately with strong attention to detail
- Able to maintain concentration and consistent accuracy when handling structured and repetitive tasks
- Comfortable learning and working with different software systems and tools
- Well-organized, with the ability to prioritize tasks and meet deadlines
- Flexible and comfortable working in a multicultural environment influenced by Japanese business culture
- Professional and reliable, with the ability to build and maintain positive working relationships with customers and cross-functional teams
- Suitable for entry-level to intermediate candidates; previous experience is an advantage but not required
- Additional language skills are considered a plus
- Valid EU work and residence permit required
- Able to commute to Amsterdam Zuidas, the principal place of work
