About the role
Key responsibilities & impact- Maintain and monitor legal and case management databases and files for accuracy, consistency, and timely entry of client- and case-related information
- Audit client records and case files
- Generate, review, and analyze case-related reports to inform legal services, staffing, resource allocation, deadlines, and funder compliance
- Establish and maintain data protocols and quality-control procedures from client intake to case closing
- Build and maintain real-time dashboards tracking case progression, court deadlines, and grant deliverables
- Support improvements to internal legal systems, protocols, workflows, standardized document management, templates, and procedures
- Coordinate file maintenance, matter opening and closing, conflict checks, and document retention practices
- Manage implementation and user support for Clio Manage
- Train legal staff and pro bono volunteers on case-management workflows, data-entry standards, and confidentiality protocols
- Manage legal subscriptions, software, and accounts
- Manage annual renewal of State Bar Attorney Dues and coordinate review with the Legal Director and Finance team
- Liaise with Operations, Finance, and Development to align legal systems with organizational policies and grant requirements
- Pull caseload, client demographic, activity, and outcome metrics for program performance and grant compliance
- Manage compliance and reporting for ALC's grant portfolio
- Prepare and submit invoices, programmatic reports, and contract-mandated deliverables to government funders
- Maintain a master calendar of grant deadlines, reporting requirements, and compliance milestones
- Reconcile client and time-tracking data against grant deliverables and budgets
- Track government funding opportunities and pursue and secure new government grants and contracts
- Coordinate procurement for grant renewals and new awards, including proposal submission logistics, contract negotiation support, amendments, onboarding, and close-out
- Serve as liaison between program staff and government funders on compliance, reporting, administrative matters, site visits, monitoring reviews, and audits
- Maintain organized, audit-ready documentation for government grants, legal data, and case files
- Report to the Legal Services Director
Requirements
What you’ll need- 3-5 years of experience in legal aid, public interest law, or legal non-profit organizations
- At least three years of managing legal data and/or government grants compliance, such as time-tracking systems, grant billing and reporting requirements
- Excellent analytical skills, with the ability to audit data for accuracy and identify discrepancies
- Exceptional organizational skills and close attention to detail, with the ability to manage multiple deadlines across a complex grant portfolio
- Strong written and verbal communication skills, including experience communicating directly with government agency representatives
- Comfort working cross-functionally with attorneys and program staff, finance and development colleagues, and partner organizations
- Proficiency with Clio or similar legal case management system
- Proficiency with Microsoft Office Suite, including OneDrive and SharePoint
- Proficiency with Google Suite
- Commitment to ALC's mission of advancing civil rights and empowering low-income API & AMEMSA communities
- Ability to work in the San Francisco office two days a week
- Occasional evening and weekend work, local, statewide, and domestic travel may be required
- Paralegal certificate, grants management certification, compliance certification, or related professional credential such as a BS in data analytics or statistics are a plus
