About the role
Key responsibilities & impact- Review and monitor AWV provider schedules to optimize appointment utilization and access
- Oversee daily outreach operations supporting Annual Wellness Visit scheduling goals
- Identify scheduling gaps and improve appointment volume and patient access
- Align scheduling capacity with patient demand in collaboration with providers and operational leadership
- Ensure outreach workflows comply with organizational policies and healthcare regulations
- Troubleshoot operational issues and escalate as needed
- Manage, coach, and oversee approximately 35–40 outreach and scheduling staff
- Conduct interviews, participate in hiring, and lead onboarding, training, and staff development
- Monitor employee performance and provide feedback, coaching, and corrective action
- Facilitate biweekly team meetings and maintain training materials and SOPs
- Manage staffing, scheduling, and coverage
- Oversee third-party AWV scheduling and outreach vendors, including communication, escalations, SLAs, productivity, and performance reviews
- Oversee AWV billing operations, coding and documentation compliance, claims submission, reconciliation, denials, reimbursement, and policy updates
- Track and analyze outreach, scheduling, vendor, billing, productivity, and AWV completion metrics
- Develop operational reports, executive dashboards, and KPI analyses
- Identify process improvement opportunities through data analysis
- Meet weekly with leadership and communicate results to management, providers, and cross-functional stakeholders
- Liaise among outreach/scheduling teams, vendors, and billing/revenue cycle teams
Requirements
What you’ll need- Bachelor's degree required
- Master's degree in Health Administration, Business Administration, or related field preferred
- Experience managing healthcare operations, patient outreach programs, or care coordination teams
- Experience managing third-party vendors or outsourced service partners, including SLA management and performance oversight
- Experience overseeing or working closely with medical billing/revenue cycle operations, preferably related to AWV or preventive care services
- Experience managing teams of 25+ staff
- Experience with reporting, data analysis, and performance metrics
- Knowledge of AWV, preventive care programs, CMS billing guidelines, and healthcare scheduling workflows
- Proficiency in Microsoft Excel, reporting/BI tools, and healthcare management/billing systems
- Strong organizational, communication, negotiation, and problem-solving skills
