About the role

Key responsibilities & impact
  • Organise in-person client roundtable meetings and workshops, including venue, catering, supplier, delegate and stakeholder liaison
  • Attend selected in-person events and ensure smooth delivery and follow-up activities
  • Coordinate webinars, including scheduling, test runs, setup, day-of logistics, recordings and attendance reports
  • Organise logistics for Aurora’s participation in external trade fairs and booths
  • Schedule and coordinate podcast briefing calls and recording sessions
  • Coordinate with studios for podcast video recordings
  • Work with the Podcast Coordinator to manage timelines, communications and episode logistics
  • Support conference sponsorship and partnership administration, supplier contracts, deliverables and payments with Finance
  • Provide onsite support for selected conferences
  • Contribute ideas to improve the events strategy
  • Report to the Head of Brand and work alongside senior management

Requirements

What you’ll need
  • Enthusiastic, energetic with exceptional attention to detail
  • Proactive and ‘can do’ attitude
  • Problem-solving skills
  • Excellent organisation and negotiation skills, able to manage a range of activities effectively to tight deadlines
  • Able to multi-task and re-prioritize in a fast-paced and demanding environment
  • Work experience within in-person and virtual events organisation or a commercial environment
  • Ability to learn quickly and follow or develop processes that improve our internal efficiency
  • Professional, excellent communication skills, able to build relationships at all levels
  • Able to use your own initiative and to work both independently and as part of a team
  • Good PowerPoint, MS Lists, Word, Excel, Outlook skills
  • Experience with virtual event platforms such as Zoom
  • Willingness to learn and develop
  • Experience with other event platforms such as Stova, Bizzabo etc. (desirable)
