About the role
Key responsibilities & impact- Oversee the Transfers Team
- Manage volumes and ensure daily deadlines are met
- Recruit, train, coach, mentor and schedule staff
- Oversee new employee onboarding and provide career development planning and opportunities
- Set and monitor departmental procedure standards for quality, accuracy, efficiency and SLA maintenance
- Establish a positive leadership tone with staff, peers and stakeholders
- Ensure timely and appropriate staff training and development
- Coach staff to improve performance, engagement and career growth
- Maintain current internal and external process and procedure manuals, including departmental SLAs
- Manage internal and external communications and liaise with external vendors and trustees
- Analyze business practices, identify process improvements, recommend and implement workflow-streamlining procedures
- Handle departmental project work and participate in department and division initiatives
- Support staff with escalated or complex issues and respond to customer inquiries
- Ensure appropriate staffing, cross-training and redundancy across team positions
- Review and approve daily journal postings and monthly account reconciliations (IIROC/MFDA)
- Report monthly SLA standards and exceptions and create resource plans for high-volume periods
- Maintain knowledge of industry initiatives, standards, registered plans products, CDS/ATON, and IIROC/MFDA rules and protocols
- Liaise with management on reporting for external and internal auditors
Requirements
What you’ll need- Post-secondary education and continuing education relating to the Investment Industry, specifically operations functions
- In-depth knowledge of relevant regulatory requirements
- Successful completion of the IFIC and/or the CSC is an asset
- 3–5 years of progressively responsible experience in the investment industry
- 1–2 years of past supervisory experience
- Excellent delegation, organizational, time management and administrative skills
- Strong attention to detail and accuracy
- Ability to work under pressure, set priorities and meet time constraints
- Solid analytical and problem-solving skills
- Ability to handle multiple tasks with appropriate attention to detail
- Superior customer service skills
- Ability to quickly identify and resolve problems
- Intermediate computer skills in MS Word, Excel, Outlook and Access
- Advanced Excel skills are an asset
- Fluent communication skills in both French and English are required
