About the role

Key responsibilities & impact
  • Supervise the Transfers team, manage workloads, and meet daily deadlines.
  • Recruit, train, coach, mentor, and schedule staff.
  • Oversee onboarding, integration, career development, and professional development.
  • Establish and monitor departmental standards and procedures to ensure quality, accuracy, efficiency, and compliance with service-level agreements.
  • Foster a positive environment and provide leadership to staff, peers, and stakeholders.
  • Ensure staff training, development, engagement, and career advancement.
  • Keep processes and procedures up to date in internal and external manuals.
  • Manage internal and external communications and liaise with vendors and trustees.
  • Analyze business practices, recommend improvements, and streamline workflows.
  • Manage departmental projects and participate in divisional initiatives.
  • Support staff with complex issues and maintain customer service levels.
  • Forecast staffing and training needs, including cross-training.
  • Review and approve daily journal entries and monthly account reconciliations.
  • Produce monthly service-level reports and create action plans during periods of high volume.
  • Monitor industry initiatives and standards, registered plan products, CDS NELTC services, and CIRO and MFDA rules.
  • Collaborate with management on process and procedure reports for auditors.

Requirements

What you’ll need
  • Postsecondary education and continuing education related to the investment industry, specifically operations functions.
  • Thorough knowledge of relevant regulatory requirements; successful completion of IFIC or Canadian Securities Course (CSC) is an asset.
  • Three to five years of progressively responsible experience in the investment industry, including one to two years in a supervisory role.
  • Excellent delegation, organizational, time management, and administrative skills.
  • Strong attention to detail and accuracy.
  • Ability to work under pressure, prioritize tasks, and meet time constraints.
  • Strong analytical and problem-solving skills, with the ability to manage multiple tasks.
  • Excellent customer service skills and the ability to resolve issues promptly.
  • Highly motivated to achieve objectives.
  • Intermediate knowledge of MS Word, Excel, Outlook, and Access; advanced Excel skills are an asset.
  • Excellent communication skills in both French and English are required.
