About the role
Key responsibilities & impact- Support 6-8 Band 2 and 3 employees with minimal indirect support for their direct reports
- Communicate and interact with all levels of Bank of America, including senior executives and support partners
- Handle high-level client contact and sensitive information with tact, diplomacy, and judgment
- Manage multiple objectives, projects, and activities simultaneously
- Perform diverse, advanced, and confidential administrative support functions
- Compose, sign, and release routine but somewhat complex correspondence
- Proactively manage executive calendars, key deadlines, delivery commitments, and routines
- Coordinate executive schedules to maximize time and create efficiencies
- Anticipate and resolve scheduling issues and challenges
- Provide phone coverage
- Schedule domestic and international travel and process expenses and invoices
- Organize and execute All Hands and staff meetings
- Maintain email distribution groups and update orientation slides and organizational charts monthly
- Assist with onboarding employees and contractors and coordinate employee events
- Gather and convey relevant information with executives and line management
- Answer manager phone lines, document accurate messages, and handle calls appropriately
- Arrange travel, expense reports, meetings, and appointments
- Prepare meeting minutes and related documents
- Prepare correspondence, reports, and forms for leaders
- Research and resolve questions and problems with internal and external customers
Requirements
What you’ll need- 3-5 years of experience providing administrative support at the senior management level
- Significant time management, multi-tasking and prioritization skills
- Highly organized with strong attention to detail
- Ability to work effectively under pressure and time constraints
- Strong written and verbal communication skills
- Ability to interface with Senior Executives
- Advanced skills in Outlook and Microsoft Office programs, including Teams, Excel, Word, PowerPoint, OneNote, and Visio
- Experience using CoPilot and other AI tools
- Knowledge of Bank of America systems including Workday, Concur, GEP Smart, TechDirect, Flagscape, ACR, and ARM
- Concur or similar experience processing travel and expenses
- FDIC and Safe Act/Loan Originators restrictions apply to hiring based on specified criminal history
- Bachelor's degree preferred
