About the role

Key responsibilities & impact
  • Provide diverse and confidential administrative support, including extensive calendar management
  • Support management with administrative tasks
  • Coordinate travel arrangements and process expenses
  • Gather and report information relevant to executives
  • Respond to incoming mail
  • Assist with organizing in-person meetings and off-sites
  • Communicate with executives and line management to gather and convey relevant information
  • Answer manager phone lines, document accurate messages, and handle calls appropriately
  • Proactively manage multiple executives’ calendars and resolve conflicts
  • Arrange travel, expense reports, meetings, and appointments
  • Prepare meeting minutes and related documents
  • Prepare correspondence, reports, and forms for leaders
  • Research and resolve questions and problems for internal and external customers

Requirements

What you’ll need
  • Minimum of 3 years of experience providing administrative support at the senior management level
  • Significant time management, multi-tasking and prioritization skills
  • Highly organized with strong attention to detail
  • Ability to work effectively under pressure and time constraints
  • Strong written and verbal communication skills and ability to interface with Senior Executives
  • Ability to handle sensitive information and maintain confidentiality
  • Ability to build rapport and work effectively with others
  • Advanced skills in Outlook and Microsoft Office programs (Excel, Word, PowerPoint, OneNote, Teams)
  • Concur or similar experience processing travel and expenses
  • Working knowledge of global operations, payment channels, and financial processes
  • Knowledge of Bank of America systems including Workday, Ariba, TechDirect, Flagscape, ACR, and ARM
