About the role
Key responsibilities & impact- Provide diverse and confidential administrative support, including extensive calendar management
- Support management with administrative tasks
- Coordinate travel arrangements and process expense reports
- Gather and report information relevant to executives
- Respond to incoming mail
- Organize in-person meetings and off-sites
- Communicate with executives and line management to gather and convey relevant information
- Answer manager phone lines, document accurate messages, and handle calls appropriately
- Proactively manage multiple executives’ calendars and resolve conflicts
- Arrange travel, expense reports, meetings, and appointments
- Prepare meeting minutes, meeting documents, and presentation materials
- Prepare correspondence, reports, and forms for leaders
- Answer questions, research, and resolve problems for internal and external clients
- Liaise with outside groups coordinating events where the executive is a corporate chair, director, or committee member
- Handle high-level client contact and sensitive information with tact, diplomacy, and judgment
Requirements
What you’ll need- Minimum of 3+ years of professional client-focused or relevant administrative experience, preferably in the high net-worth space
- Exceptional verbal and written communication skills
- Ability to build relationships and communicate effectively with internal teams and executive-level management
- Strong analytical and organizational skills
- Ability to prioritize while maintaining high client service and attention to detail
- Considerable tact, diplomacy, and judgment with confidential information
- Proficiency in Outlook, Word, Excel, PowerPoint, OneNote, WebEx, and SharePoint
- Availability for 1st shift
- 40 hours per week
