About the role
Key responsibilities & impact- Perform research, gather data/information, and prepare reports for regional staff
- Provide daily administrative duties to Project Management staff, including purchase orders, change orders, financial reports, safety documentation, filing, preliminary notices, lien releases, billing, collections, and project setup
- Perform daily and weekly timekeeping duties for field personnel
- Assist corporate Accounts Payable/Receivable, Credit and Collections, Payroll, and support staff
- Ensure Company activities and operations comply with local, state, and federal regulations and laws
- Research, review, and audit information and data to resolve problems and situations
- Provide guidance and assistance to others in identifying and resolving problems
- Complete special projects involving research, analysis, and data collection
- Compile statistics, data, and supporting documentation for reports and projects
- Develop, install, and monitor procedures and controls
- Evaluate operations and report results to the Regional Manager
- Obtain and maintain city business licenses and licenses for all states, including unemployment accounts
- Manage Company credit cards
- Arrange hotel accommodations and rental cars for management and field personnel
- Monitor and track credit cards
- Monitor office attendance and time-off requests
- Plan and coordinate Company events
- Represent the Company at industry events
Requirements
What you’ll need- Minimum of 5+ years of experience as an Office Assistant/Administrator reporting directly to senior management
- Advanced Microsoft Office skills
- Ability to become familiar with firm-specific programs and software
- Proficiency in collaboration and delegation of duties
- Strong organizational, project management, and problem-solving skills
- Impeccable multi-tasking abilities
- Knowledge of accounts payable/receivable, credit and collections, and payroll
- Experience supervising employees
- Exceptional interpersonal skills

- Ability to lift files, open filing cabinets, and bend or stand to complete administrative functions
