About the role
Key responsibilities & impact- Partner with Experiential Marketing Leads, the Experiential Marketing Associate, and Account Team to bring clients’ vision to life
- Research and vet potential vendors and partners
- Support vendor and partner outreach, negotiation, contracting, and payments
- Provide feedback on vendor and partner execution quality
- Spot trends and pitch ways to integrate them into existing programs
- Follow experiential project timelines and oversee deadlines and deliverables
- Build and maintain project sheets, trackers, and production timelines
- Assist with program and process optimizations and improvements
- Pull metrics into reporting templates and keep stakeholders informed
- Process invoices and payment requests for partners and vendors
- Assist with internal and external communications
- Represent BibRave and its clients professionally
- Own assigned components of experiential programs while supporting senior team members across planning, production, vendor management, on-site execution, and reporting
- Report directly to the Director of Experiential Marketing
Requirements
What you’ll need- 1–3 years experience in experiential marketing and/or managing complex projects and programs
- Fluency in Google Suite, Microsoft Office, Slack, Canva, Monday.com (or comparable PM tool), and AI tools like ChatGPT
- Ability and willingness to travel 3–5 times per year
- Exceptional social intelligence
- Hospitality-driven service mentality
- Obsessive organization
- Crystal-clear business writing across email, Slack, Monday.com, decks, and other channels
- Bias toward action and proactive problem-solving
- Composure under pressure
- Self-direction and ability to set and meet deadlines
- Attention to detail
- Experience with in-person events and knowledge of the running/racing/multisport space are a plus
- Passion for the fitness, running, outdoor, or wellness industries
