About the role

Key responsibilities & impact
  • Obtain and log documents from Engineers, Architects, Contractors, and Vendors for permit applications
  • Confirm and track required permit approvals and liaise with regulatory agencies throughout the permitting process
  • Prepare and submit application status updates to agencies, partners, stakeholders, and boards
  • Review Facilities Engineering/Construction application packages and supporting documents for accuracy and completeness
  • Coordinate paperwork and applications with outside consultants and contractors
  • Maintain permitting schedules from initial approval through Certificate of Occupancy
  • Enter and update permitting data daily in the master tracking log/dashboard
  • Prepare template packages for the Facilities Engineering/Construction team
  • Verify inspections and resolve conditions to obtain Certificates of Occupancy
  • Maintain audit-ready files for site plan applications, product approvals, licenses, and permits
  • Communicate with Facilities Engineering and Construction to resolve field issues and meet closings
  • Identify permit-related schedule or budget risks and recommend mitigations
  • Report permit status to project managers, leadership, and stakeholders
  • Support process improvements to standardize permit tracking across Facilities Engineering projects

Requirements

What you’ll need
  • 3+ years of experience in construction permitting, project coordination, or project controls, with demonstrated ownership of full permit lifecycles
  • Strong working knowledge of construction permitting processes, building codes, and Authorities Having Jurisdiction (AHJ) interactions
  • Ability to manage multiple concurrent permits/projects independently with minimal supervision
  • Proficiency with project tracking tools such as Smartsheet, MS Project, SharePoint, or similar
  • Excellent written and verbal communication skills
  • Experience interfacing directly with external regulatory agencies and internal leadership
  • Demonstrated attention to detail and document accuracy in high-compliance environments
  • U.S. citizen or national, U.S. permanent resident, or lawfully admitted U.S. refugee/asylee
  • Preferred: Bachelor's degree in Construction Management, Engineering, Business, or related field
  • Preferred: Experience coordinating permits for industrial, aerospace, or manufacturing facility construction
  • Preferred: Familiarity with local/state AHJ processes
  • Preferred: PMP, CAPM, or similar project management certification
  • Preferred: Experience with environmental or fire/life safety permitting
  • Preferred: Experience mentoring junior coordinators or leading permit tracking process improvements
