About the role
Key responsibilities & impact- Oversee the day-to-day operations of Boliden’s Stockholm head office and reception area
- Manage and develop two Receptionists, including performance reviews, salary reviews, and workforce planning
- Manage access control systems, locks, alarms, and visitor management processes
- Serve as the main point of contact for the landlord, cleaning company, security provider, waste management services, plant care provider, and coffee supplier
- Manage supplier relationships, contracts, procurement of office services and supplies, and temporary staffing
- Coordinate and oversee fire safety activities, including fire drills, safety procedures, safety briefings, and employee training
- Represent the office in the Work Environment Committee and coordinate annual BeSafe activities and initiatives
- Act as the primary internal contact for office relocation and workplace improvement initiatives
- Coordinate external project managers, suppliers, and internal stakeholders for workplace projects
- Plan and coordinate employee engagement initiatives and workplace activities, including Office Meetings, outdoor exercise activities, after works, and holiday celebrations
- Coordinate workplace, equipment, company merchandise, and office onboarding activities for new employees
- Manage office budgets, invoice processing, cost control, and financial administration
- Perform administrative tasks supporting day-to-day office operations
- Report to the Executive Assistant to the CEO and collaborate with functions across the organization
Requirements
What you’ll need- Professional proficiency in Swedish and English, both written and spoken, is required

- Confident leadership skills
- Strong planning, coordination, organization, and prioritization skills
- Ability to manage multiple tasks and stakeholders in a dynamic, fast-paced environment
- Self-motivated, proactive, solution-oriented, and hands-on mindset
