About the role
Key responsibilities & impact- Provide proactive calendar and priority management for assigned senior leaders
- Anticipate key issues, resolve conflicts, and implement action plans based on changing priorities and commitments
- Manage and coordinate leadership, team, large-group meetings, and site activities, including scheduling, rooms, content, materials, technology, catering, and logistics
- Arrange complex domestic and international travel and support itinerary changes and related needs
- Coordinate visitors, guest access, supplies, workspace requirements, local onboarding and offboarding, and other site-based administrative activities
- Complete Workday requisitions and other administrative transactions and maintain accurate departmental records and files
- Interface professionally with senior executives and diverse stakeholders while handling confidential information with discretion
- Prioritize activities based on departmental objectives and business needs while balancing competing priorities, resources, and time-sensitive requests
- Independently resolve scheduling and logistics issues under limited supervision
- Partner across the administrative support team and provide backup coverage for critical activities
- Provide dedicated administrative support to assigned Patient Safety senior leaders within the Business Capabilities & Excellence organization
Requirements
What you’ll need- High school diploma required; some college or advanced technical training preferred
- 5-7 years of progressively responsible administrative experience
- Significant experience supporting senior-level executives and interfacing with external stakeholders
- Strong organizational skills, close attention to detail and follow-up
- Ability to respond to business needs in a fast-paced, matrixed environment
- Excellent relationship-management and service orientation
- Ability to interact confidently and professionally with senior executives and various stakeholders
- Ability to maintain discretion and professionalism with confidential information and sensitive situations
- Demonstrated problem-solving ability and dependable execution in a matrixed environment
- Technical aptitude and learning agility to develop proficiency in business operations tools, data management, reporting, and standardized workflows
- Proficiency with Microsoft 365 applications, virtual meeting tools, document repositories, and relevant company systems
