About the role

Key responsibilities & impact
  • Provide proactive calendar and priority management for assigned senior leaders
  • Anticipate key issues, resolve conflicts, and implement action plans based on changing priorities and commitments
  • Manage and coordinate high-level leadership, team, large-group meetings, and site activities
  • Handle scheduling, rooms, content, materials, technology, catering, and other logistics
  • Arrange complex domestic and international travel and support itinerary changes
  • Coordinate visitors, guest access, supplies, workspace requirements, local onboarding and offboarding, and site-based administrative activities
  • Complete Workday requisitions and other administrative transactions
  • Maintain accurate departmental records and files
  • Interface with senior executives and diverse stakeholders while handling confidential information with discretion
  • Prioritize activities according to departmental objectives and business needs
  • Resolve scheduling and logistics issues independently under limited supervision
  • Partner across the administrative support team and provide backup coverage
  • Provide dedicated administrative support to assigned Patient Safety senior leaders in collaboration with the administrative support team and partners

Requirements

What you’ll need
  • High school diploma required; some college or advanced technical training preferred
  • 5–7 years of progressively responsible administrative experience
  • Significant experience supporting senior-level executives and interfacing with external stakeholders
  • Strong organizational skills, close attention to detail and follow-up
  • Ability to respond to business needs in a fast-paced, matrixed environment
  • Excellent relationship-management and service orientation
  • Ability to interact confidently and professionally with senior executives and various stakeholders
  • Ability to maintain discretion and professionalism with confidential information and sensitive situations
  • Demonstrated problem-solving ability and dependable execution
  • Technical aptitude and learning agility to develop proficiency in business operations tools, data management, reporting, and standardized workflows
  • Proficiency with Microsoft 365 applications, virtual meeting tools, document repositories, and relevant company systems
