About the role
Key responsibilities & impact- Lead planning and facilitation of medical team meetings, including virtual and face-to-face engagements
- Develop and maintain Medical Affairs dashboards tracking deliverables, progress, and performance metrics
- Oversee new team member onboarding and provide processes and resources for integration
- Establish, update, and manage SharePoint sites and distribution lists
- Maintain organized, user-friendly, and compliant digital platforms
- Collaborate with Medical Affairs, IT, Compliance, and other stakeholders on process improvements and AI-enabled best practices
- Support pre-congress planning, onsite congress operations, and post-congress follow-ups
- Support scheduling, setup, and facilitation of onsite meetings and events
- Liaise with internal teams, external vendors, and congress organizers
- Oversee vendor, venue, and service contract processes
- Ensure contracts comply with company policies and compliance requirements
- Develop, manage, and track the medical budget
- Partner with Finance to reconcile budgets, process invoices, track spending, and support forecasting
- Adapt to changing priorities and take on additional projects and responsibilities
- Apply AI to improve team execution and decision-making
Requirements
What you’ll need- Bachelor’s degree required
- Advanced degree or project management certification (e.g., PMP) preferred
- Minimum of 5 years’ relevant project management experience within pharmaceutical, life sciences, or medical affairs environments
- Familiarity with event planning, logistics, and operational support highly desirable
- Strong budget management, contract administration, and vendor coordination skills
- Proven experience managing SharePoint or similar digital collaboration platforms
- Excellent organizational, communication, and interpersonal skills
- Ability to work independently, with strong attention to detail and a proactive approach to problem-solving
- Ability to multi-task and manage competing priorities
- Flexibility to travel as required for congress support
- Team-oriented with a high degree of professionalism, integrity, and customer service focus
