About the role
Key responsibilities & impact- Provide document formatting and production support for technical reports, memoranda, correspondence, and other client deliverables
- Apply company and client standards to create clear, consistent, professional, and accessible documents
- Manage multiple assignments and deadlines with minimal supervision
- Support proofreading, template development, PDF production, document accessibility, and technical editing
- Ensure deliverables comply with company style guides and client-specific requirements
- Develop and maintain company templates
- Perform readability reviews and edit documents for smooth content flow
- Lead and coordinate final document reviews
- Collaborate with teams, engineers, and project managers to gather document requirements and project scope
- Develop customized Word templates for clients and projects
- Apply template styles and guidelines to correspondence, technical memoranda, reports, design documents, and marketing materials
- Check spelling, word spacing, section titles, headers, footers, tables of contents, pagination, figures, tables, captions, and cross-references
- Track document version control and ensure documents are securely stored and accessible
- Facilitate communication between departments regarding document updates
- Proofread punctuation, capitalization, grammar, abbreviations, tables, citations, references, appendices, terminology, and document structure
- Perform fact checking and ensure consistent organization and parallel structure
- Edit technical content for accuracy, clarity, and consistency
- Restructure paragraphs, improve transitions, and rewrite content where necessary
- Create and compile documents into PDFs using Adobe or Bluebeam
- Create PDF bookmarks as required
- Provide mentorship and knowledge-sharing to less experienced team members as needed
Requirements
What you’ll need- Minimum of 4 years of related work experience
- High school diploma or equivalent
- Advanced knowledge and proficiency in Microsoft Office Suite, especially Microsoft Word
- Proficiency in PDF software such as Adobe Acrobat Pro or Bluebeam Revu
- Excellent attention to detail
- Strong communication and interpersonal skills
- In-depth understanding of document formatting and style guides
- Ability to manage tasks autonomously and collaborate effectively
- Ability to quickly learn new software applications and document procedures
- Knowledge of document accessibility compliance
- Knowledge and ability to use digital signature support such as GlobalSign or DocuSign
- Experience formatting technical reports, technical memoranda, design documents, specifications, or complex client deliverables
- Experience applying corporate, client-specific, or industry style guides and document templates
- Experience developing, modifying, and troubleshooting Microsoft Word templates
- Experience managing multiple assignments, shifting priorities, and deadline-driven deliverables
- Working knowledge of proofreading, grammar, editing conventions, and document readability
- Technical editing experience, training, or certification
- Knowledge of accessible document practices in Microsoft Word and PDF documents
- Experience with document version control, file organization, digital signatures, and secure document-management practices
- Experience supporting engineering, architecture, construction, environmental consulting, or another technical professional-services environment
