About the role

Key responsibilities & impact
  • Provide basic administrative and technical support to the Military Sealift Command Overhaul Management Team during ship maintenance periods in shipyards
  • Use the MSC Shipboard Automated Maintenance Management System (SAMM) to assist with ship repairs
  • Provide general administrative assistance in shipyard offices and onboard vessels
  • Collect, file, store, and organize paper and electronic documents
  • Arrange appointments and meetings and prepare meeting spaces
  • Prepare and format presentations
  • Duplicate, collate, roll, bind, and distribute documents and drawings
  • Scan and correct documents for modification and reuse
  • Prepare and distribute reports and compile data
  • Maintain consumable supply inventory and report low levels
  • Coordinate and track administrative correspondence
  • Maintain the local SAMM network and train the OMT on SAMM usage
  • Establish and maintain a point-of-contact list
  • Enter Condition Found Reports into SAMM and track MSCREP responses
  • Track Contract Change Orders and update the OMT on daily status
  • Develop and maintain spreadsheets for the MSC OMT
  • Use SAMM for planning, research, execution, and maintenance of records across ashore and afloat operations
  • Enter data and draft reports from shipyards, ship’s force, contractors, and OMT members into SAMM
  • Review weekly status reports and SITREPs against SAMM data for accuracy
  • Prepare and distribute meeting minutes and compile weekly reports
  • Record actions in the SAMM database, including the Port Engineering Notebook
  • Maintain security, confidentiality, and non-disclosure of contract and technical information
  • Deliver and pick up documents and materials within shipyards while wearing personal protective equipment

Requirements

What you’ll need
  • Must be able to obtain Secret clearance
  • Must be able to travel 100% of the duration of the assignment
  • Ability to walk up and down ladders and walk long distances onboard a vessel and in a shipyard
  • Ability to lift to 25-pound packages
  • Read and write in fluent English
  • Intermediate proficiency Microsoft Office products including Word, Excel, PowerPoint, and Outlook
  • Active SECRET clearance highly desirable
  • SAMM training and experience desirable
  • Previous job-related experience (government/military or private) desirable
  • Safety training desirable
