About the role

Key responsibilities & impact
  • Coordinate with State, Federal and Local agencies using highly confidential business information
  • Manage and track internal company processes and procedures for acquisitions and new construction
  • Research State, Federal and Local requirements and develop licensing timelines and best practices
  • Develop guidelines for stores and operations regarding compliance, regulations and state laws
  • Apply for initial new store licensing, including DMV, business, repair, sales/use tax and Secretary of State name registrations
  • Support Area Controllers and upper management with daily assistance, transitions and new store openings
  • Coordinate bonds and Certificates of Insurance with risk management for signature and distribution
  • Coordinate with the inventory team on state-required forms and regulations
  • Provide ongoing store support for license violations and renewals
  • Coordinate with construction teams on CUPs, COO, signage and zoning issues
  • Support legal teams and paralegals
  • Prepare reports for upper management and perform administrative duties
  • Provide lease administration support
  • Distribute and track dealership land violation notices and citations
  • Manage organizational documents on the shared legal drive

Requirements

What you’ll need
  • Bachelor’s degree in Business Administration, Legal Studies, Real Estate, or a related field; OR equivalent hands-on administrative and regulatory compliance experience
  • 2+ years of professional experience in business licensing, paralegal support, corporate regulatory compliance, or real estate administration
  • Prior experience navigating state-level DMVs, dealer licensing regulations, local municipal business permits, or sales tax registrations
  • Proven ability to research complex, differing state-by-state statutory requirements and build actionable action plans or timelines
  • Advanced proficiency with Microsoft Excel and database tracking tools
  • Proven experience managing highly confidential materials, including executive background check documentation, personal financial statements, and fingerprinting requirements
  • Experience managing multiple multi-layered projects simultaneously
  • Track record of identifying filing bottlenecks or compliance risks early and resolving them before they impact business operations
  • High level of attention to detail and ability to work with minimal supervision
  • Adaptability in a rapidly changing and evolving environment
  • Proficient computer skills, including email, word processing and Excel
  • Active listening and clear communication skills
  • Willingness to attend meetings, take responsibility and follow through with assignments
