About the role
Key responsibilities & impact- Serve as a key point of contact within Hoag’s Centralized Patient Service Center
- Manage inbound and outbound patient interactions for diagnostic imaging and specialty-service scheduling
- Schedule, reschedule, cancel, and confirm appointments across CT, MRI, mammography/DEXA, X-ray/ultrasound, laboratory, nuclear medicine, pulmonary, vascular, surgery, labor and delivery, radiology, and physician scheduling
- Respond to inquiries about imaging services, appointment availability, preparation instructions, insurance verification, and general service information
- Document patient interactions, appointment details, and updates in scheduling systems and CRM platforms
- Review patient orders, referrals, and provider instructions against established guidelines
- Navigate multiple scheduling, CRM, and communication systems simultaneously
- Coordinate with patients, providers, and internal teams to resolve scheduling needs
- Follow workflows, call flows, knowledge resources, HIPAA requirements, and privacy/security standards
- Identify patient needs and resolve concerns while meeting service expectations
- Maintain productivity, quality, attendance, and schedule-adherence standards in a high-volume contact center
- Participate in required imaging-modality training and coaching sessions
- Apply feedback to improve performance and service delivery
- Perform other assigned duties
Requirements
What you’ll need- High school diploma or GED required
- Minimum of six months of experience in a healthcare contact center, patient access, or customer service environment preferred, with hands-on experience scheduling medical appointments within a healthcare organization—preferably supporting diagnostic imaging, specialty care, or multi-department scheduling is required
- Required work-from-home experience in a private, secure, and distraction-free environment while maintaining full compliance with HIPAA and company data privacy standards
- Strong verbal communication skills with empathy, professionalism, and excellent telephone etiquette
- Understanding of contact center performance metrics, including adherence, quality, and service levels
- Ability to adhere to assigned schedules, including flexibility for shift changes, coverage swaps, and overtime
- Ability to manage multiple systems and tasks simultaneously in a fast-paced environment
- Strong attention to detail and ability to follow established protocols and workflows
- Problem-solving skills and ability to research and resolve customer inquiries
- Basic computer proficiency with Windows-based systems, Outlook, Teams, and CRM or scheduling platforms
- Ability to type a minimum of 40 words per minute
- Flexibility to work evenings, weekends, or holidays as required
- Must complete assessments independently if required
