About the role

Key responsibilities & impact
  • Support small and mid-sized new construction and renovation projects at Carle Facilities
  • Coordinate design/layout and oversee construction projects
  • Facilitate project changes and ensure project timeliness, completion, and budgets
  • Assist Project Managers, the Manager of Facilities Planning and Construction, and the Executive Director of Facilities Planning with project coordination and organization
  • Maintain files, coordinate meetings, create and monitor reports, prepare schedules, budgets, and PowerPoint presentations
  • Take photos and manage drawings and specification archives
  • Administer construction management software for the department
  • Manage relationships with internal and external parties to determine project specifications, resolve conflicts, and support project success
  • Update construction schedules based on team input
  • Assist with project permit processes, proposals, procurement, and invoice tracking
  • Communicate with contractors about schedules and conflicts
  • Participate in project meetings and issue meeting minutes
  • Review project costs and perform cost projections
  • Identify and resolve design-drawing conflicts during pre-construction and construction
  • Prepare project documents, contracts, schedules, material requirements, and daily reports
  • Monitor and report on compliance, quality, and productivity
  • Compile charts and graphs for project reporting
  • Develop and carry out project safety and infection prevention plans (ILSM and ICRA)
  • Oversee the Procore networking platform and manage Procore documentation
  • Perform administrative and analytical functions for Procore, Strata Jazz, Bluebeam, and other assigned systems
  • Oversee construction professionals’ use of Procore
  • Provide miscellaneous project support, including mailing, scanning, and tracking
  • Perform all aspects of document control

Requirements

What you’ll need
  • Ability to read drawings and specifications
  • Ability to manage project permits, proposals, procurement, invoices, schedules, budgets, and project documentation
  • Ability to communicate with contractors regarding schedules and conflicts and follow up to resolve problems
  • Ability to participate in project meetings and prepare meeting minutes
  • Ability to review project costs and perform cost projections
  • Ability to identify, communicate, and resolve design-drawing conflicts
  • Ability to prepare and submit project documents, including contracts, schedules, material requirements, and daily reports
  • Ability to monitor and report on compliance, quality, and productivity
  • Ability to develop and carry out project safety and infection prevention plans (ILSM and ICRA)
  • Ability to administer Procore system setup, configuration, custom forms, and project documentation
  • Experience with construction technology tools such as Procore, Strata Jazz, and Bluebeam
  • Ability to oversee construction professionals’ use of Procore
  • Ability to perform document control
  • Work authorization verification through Form I-9/E-Verify
