About the role
Key responsibilities & impact- Provide high-level administrative and operational support to the EUR-IO/EX Front Office, including the Executive Director, two Deputy Executive Directors, and Supervisory Post Management Officer
- Plan and schedule meetings, conferences, and teleconferences; arrange rooms and logistics
- Read, research, route, draft, and edit correspondence and documents; collect and analyze information; provide executive summaries and action items
- Manage the flow of cables, correspondence, briefing papers, and memoranda
- Prepare and deliver briefing books for Front Office executives
- Perform special assignments and provide substantive support to the EX team
- Maintain and update the SharePoint library of EX SOPs and Management Notices
- Serve as backup to other EUR-IO/EX Executive Assistants
- Create, prepare, clear, and edit organizational charts, memos, SOPs, reports, and office documents
- Proofread, update, print, and maintain documentation and work records
- Coordinate conferences and meetings
- Oversee executive travel logistics, transportation, government travel orders, vouchers, taxi vouchers, and reimbursables
- Track and submit time and attendance through State Department systems
- Assist with annual performance evaluations and HR database submissions
- Track Chief of Mission absences and prepare official EUR and IO responses
- Lead coordination of EUR/IO-EX annual Congressional reporting
- Serve as SharePoint site expert; improve accessibility, archives, and functionality
- Train and brief staff on SharePoint use
- Manage Outlook email groups and distribution lists
- Update organizational charts, emergency contact information, and phone charts
- Welcome guests, answer or direct inquiries, and cover the EX door for visitors
- Maintain daily office calendars, office supplies, inventory, filing systems, and databases
- Monitor internal tasks, deadlines, and deliverables
- Troubleshoot office equipment and follow up on issue resolution
- Handle classified, sensitive, and personally identifiable information according to established procedures
- Exercise judgment in applying guidelines, researching regulations, and escalating deviations to the supervisor
- Report to the Program Manager
Requirements
What you’ll need- High school diploma with minimum five (5) years office experience supporting senior officials OR two-year college degree in Office Management, Business Administration, or related field with four (4) years office management experience
- Active Secret clearance is required
- Must be able to pass a background check; additional background checks may be required
- Ability to handle multiple tasks simultaneously in a fast-paced work environment
- Thorough knowledge of Microsoft Word, PowerPoint, and Excel
- Excellent oral and written communication skills to interface with personnel and other government agencies at all levels
- Highly organized with strong attention to detail
- Knowledge of office policies, practices, and procedures
- Ability to handle highly confidential information with discretion
- Ability to work independently and exercise sound judgment
- High degree of independent judgment in researching regulations and determining relationships between guidelines and organizational efficiency
- Knowledge of basic accounting skills helpful
- Must be physically and mentally able to perform duties for extended periods of time
- Ability to use a computer and other office productivity tools with sufficient speed to meet position demands
- Must be able to establish a productive and professional workspace
- Must be able to sit for long periods looking at a computer screen
- May be asked to work a flexible schedule, including holidays
- May be asked to work hours outside normal business hours
