About the role

Key responsibilities & impact
  • Provide high-level administrative and operational support to the EUR-IO/EX Front Office, including the Executive Director, two Deputy Executive Directors, and Supervisory Post Management Officer
  • Plan and schedule executive meetings, conferences, and teleconferences; arrange rooms and logistics
  • Read, research, route, draft, and summarize correspondence and documents
  • Manage the flow of cables, correspondence, briefing papers, and memoranda
  • Prepare and deliver briefing books for Front Office executives
  • Perform special assignments and provide substantive support to the EX team
  • Maintain and update the SharePoint library of EX SOPs and Management Notices
  • Serve as backup to other Executive Assistants
  • Create, prepare, clear, edit, proofread, and maintain organizational charts, memos, SOPs, reports, and office documents
  • Coordinate conferences and meetings
  • Oversee executive travel logistics, transportation, travel orders, vouchers, taxi vouchers, and reimbursables
  • Track and submit time and attendance through State Department systems
  • Assist with annual performance evaluation documents and HR database submissions
  • Track Chief of Mission absences and prepare official responses
  • Lead coordination of EUR/IO-EX annual Congressional reporting
  • Serve as SharePoint site expert; maintain, improve, and train users on SharePoint sites
  • Manage Outlook email groups and distribution lists
  • Update organizational charts, emergency contact information, and phone charts
  • Welcome and direct visitors and answer inquiries
  • Maintain executive calendars, office supplies, inventory, filing systems, and databases
  • Monitor internal tasks, deadlines, and deliverables
  • Troubleshoot office and computer equipment and follow up on resolution
  • Handle classified, sensitive, and personally identifiable information according to established procedures
  • Exercise independent judgment and refer significant deviations from guidelines to the supervisor
  • Report to the Program Manager

Requirements

What you’ll need
  • High school diploma with minimum five (5) years office experience supporting senior officials OR two-year college degree in Office Management, Business Administration, or related field with four (4) years office management experience
  • Active Secret clearance is required
  • Must be able to pass a background check; may require additional background checks
  • Ability to handle multiple tasks simultaneously in a fast-paced work environment
  • Thorough knowledge of Microsoft applications (Word, PowerPoint, Excel)
  • Excellent oral and written communication skills to interface with personnel and other government agencies at all levels
  • Highly organized with strong attention to detail
  • Knowledge of office policies, practices, and procedures
  • Ability to handle highly confidential information with discretion
  • Ability to work independently and exercise sound judgment
  • High degree of independent judgment in researching regulations and determining relationships between guidelines and organizational efficiency
  • Knowledge of basic accounting skills helpful
  • Must be physically and mentally able to perform duties for extended periods of time
  • Ability to use a computer and other office productivity tools with sufficient speed to meet position demands
  • Must be able to establish a productive and professional workspace
  • Must be able to sit for long periods of time looking at a computer screen
  • May be asked to work a flexible schedule, including holidays
  • May be asked to work hours outside normal business hours
