About the role

Key responsibilities & impact
  • Prepare, edit, and process requisitions in Ariba
  • Conduct product and supplier research to identify duplicate items and ensure inventory compatibility
  • Track expenditures and perform monthly purchase/credit card reconciliation with supporting documentation
  • Coordinate with vendors regarding inventory requirements, product availability, material status, and urgent deliveries
  • Monitor stock levels, adjust inventory thresholds, conduct physical counts, and maintain property account records
  • Inspect incoming shipments, verify shipping documentation, and issue receipts for distributed supplies
  • Develop and update online inventory catalogs and organize storage spaces
  • Screen supply intake lists, compile equipment acquisition plans, process requests, and oversee delivery and distribution
  • Maintain office floor plans and equipment lists
  • Coordinate routine building repairs, cleaning schedules, and loading dock activities
  • Plan and coordinate office moves and building signage
  • Facilitate Telephone Service Requests and ergonomic furniture installations
  • Manage copier meter readings, deliveries, exchanges, and maintenance
  • Support logistics, space coordination, and setup for bureau events, conferences, and meetings
  • Ensure compliance with federal, Department, and local regulations
  • Assist with localized supply-chain policies and procedures
  • Organize emergency-management and transportation records
  • Report to the Program Manager

Requirements

What you’ll need
  • High school diploma with 5 years of office experience supporting senior officials OR two-year college degree in Office Management, Business Administration, or related field with 4 years of office management experience
  • Active Secret Security Clearance required
  • Must be able to pass a background check; additional checks may be required
  • Ability to manage multiple tasks simultaneously in fast-paced environments
  • Proficiency in Microsoft Word, PowerPoint, and Excel
  • Strong oral and written communication skills
  • Highly organized with meticulous attention to detail
  • Discretion in handling confidential information
  • Independent judgment in interpreting regulations and optimizing organizational workflows
  • Knowledge of basic accounting principles is a plus
  • Ability to work onsite in the main office
  • Ability to perform duties for extended periods
  • Ability to use computers and office productivity tools
  • Frequent standing, walking, bending, and stooping
  • Regular lifting of 20-pound items and occasional handling of loads up to 50 pounds
  • Ability to work flexible schedules, including holidays, and outside normal business hours when required
  • May be required to travel for business or professional development
