About the role

Key responsibilities & impact
  • Answer telephone calls; receive, greet, and escort visitors; and refer inquiries to appropriate staff
  • Schedule and coordinate appointments and meetings and arrange conference rooms using ReserveIT
  • Manage files and records, including preparing federal records for archiving or disposal
  • Scan, digitize, upload, and file documents in electronic repositories
  • Prepare and route reports, correspondence, memoranda, cables, and diplomatic notes
  • Download, store, and distribute materials from approved computer systems, the internet, and intranet
  • Send and retrieve materials via facsimile and maintain tracking documentation
  • Deliver materials and packages or coordinate pickup and distribution
  • Copy, collate, and assemble materials for meetings, briefings, and official activities
  • Prepare and submit Time and Attendance data using WEB TATEL
  • Prepare travel orders and support travel arrangements using E2 Solutions
  • Prepare travel, taxi, and reimbursement vouchers
  • Prepare diplomatic passport and visa request documentation
  • Draft country clearance requests using myServices
  • Serve as first point of contact for office SharePoint sites and update SharePoint pages and directories
  • Finalize and deliver documentation for 7th floor Principals
  • Retrieve and monitor ALDAC cables through SMART and route them appropriately
  • Compile annual performance appraisal documentation and upload it to ePerformance
  • Order office supplies through myServices and coordinate pickup
  • Provide logistical support for conferences and meetings
  • Prepare work orders for services and supplies and coordinate with the General Services Officer
  • Maintain the office management calendar and provide updated information to management
  • Prepare meeting briefs and background information for managers
  • Record meeting minutes and prepare briefing materials for distribution and follow-up
  • Develop and maintain office administration SOPs
  • Update seating charts, organization charts, phone lists, and welcome books
  • Perform other duties as assigned

Requirements

What you’ll need
  • High school diploma and three years of relevant office management experience OR a two-year college degree in Office Management, Business Administration, or other related field together with two years of office management experience
  • Active Secret clearance is required
  • Knowledge of establishing travel arrangements via E2 Systems
  • Working knowledge of State Department travel policies
  • U.S. Citizenship is required
  • Must be able to pass a background check; additional background checks may be required
  • Exceptional interpersonal skills
  • Exceptional verbal and written communication skills
  • Excellent organizational, analytical, and problem-solving skills with high-level attention to detail
  • Ability to multitask and prioritize in a fast-paced environment with changing priorities

  • Proficient in MS Office, Word, Outlook, PowerPoint, and Excel
