About the role

Key responsibilities & impact
  • Serve as staff assistant to Senior Advisors, coordinating administrative and operational issues, processes, and business needs
  • Maintain understanding of major current and long-term bureau issues
  • Liaise with client offices and stakeholders to ensure task deadlines are met
  • Guide, review, and enforce deadlines for written products, ensuring format, style, coherence, accuracy, content, and clearance
  • Direct substantive reviews and resolve critical issues
  • Communicate requirements, recommendations, and significant items to Front Office leadership
  • Liaise with the client, 7th floor principals, and principals in other agencies
  • Assist in developing and coordinating internal control systems
  • Advise and guide staff and program specialists on administrative issues
  • Plan travel for the A/S and ensure briefing materials are prepared no later than 48 hours before departure
  • Perform other duties as assigned
  • Report to the Program Manager

Requirements

What you’ll need
  • At least two (2) years of staff assistant level responsibilities
  • Experience with developing project and program plans, goals, objectives, and milestones involving complex programs and systems
  • Ability to work both independently and with others
  • Secret Clearance is required
  • Must be able to pass a background check; additional background checks may be required by projects or clients
  • Excellent interpersonal and oral communication skills
  • Excellent customer service skills
  • Strong organizational skills and attention to detail, including follow-up on pending tasks
  • Proficient in MS Office, Word, Outlook, PowerPoint, and Excel
  • Must be physically and mentally able to perform duties for extended periods of time
  • Ability to use a computer and office productivity tools with sufficient speed
  • Must be able to establish a productive and professional workspace
  • Must be able to sit for long periods looking at a computer screen
  • May be asked to work outside normal business hours
  • May be asked to travel for business or professional development purposes
