About the role

Key responsibilities & impact
  • Provide administrative and operational support to the Payroll Tax Department
  • Monitor and manage Payroll Tax case queues for timely assignment and processing
  • Review incoming cases and route work to appropriate Payroll Tax team members
  • Identify workflow bottlenecks and escalate issues when necessary
  • Send acknowledgment emails and initial client responses using approved templates and procedures
  • Request additional information and documentation for tax case processing
  • Maintain professional communication with clients and internal stakeholders
  • Receive, sort, scan, and distribute tax notices, agency correspondence, and client documentation
  • Create and update cases associated with incoming mail and tax notices
  • Coordinate outgoing mail, certified mail, and agency correspondence
  • Assist with department reporting, data entry, tracking logs, and administrative tasks
  • Support special projects and process improvement initiatives
  • Maintain departmental procedures, templates, and reference materials
  • Provide administrative support during quarter-end, year-end, and other high-volume processing periods

Requirements

What you’ll need
  • High School Diploma or GED
  • Acute detail and accuracy skills
  • Demonstrated ability to communicate verbally and in writing throughout all levels of organization, both internally and externally
  • Excellent customer relation skills
  • Proficient use of applicable technology
  • Ability to work in a team environment as well as independently
  • Ability to prioritize multiple responsibilities and pay close attention to detail on many, varied tasks
  • Minimum of 2 years of administrative, customer service, office coordination, or operations support experience (preferred)
  • Proficiency in Microsoft Office applications, including Outlook, Excel, Word, and Teams
  • Ability to maintain confidentiality and handle sensitive information appropriately
  • Strong problem-solving and critical-thinking capabilities
  • Demonstrated accuracy and attention to detail
