About the role
Key responsibilities & impact- Coordinate the PhD programme’s administrative activities and provide administrative support for research activities
- Serve as the administrative point of contact for the PhD programme with Université Côte d’Azur
- Organise and coordinate the doctoral student recruitment campaign from October to February
- Organise doctoral programme activities, including examinations and individual examination panels
- Liaise with the relevant internal departments
- Coordinate the onboarding and ongoing support of visiting professors involved in the PhD programme
- Coordinate the individual monitoring of doctoral students with research centre directors and thesis supervisors
- Monitor graduate placement and keep their career paths and professional trajectories up to date
- Contribute to updating the website and to the doctoral programme’s communications and marketing activities
- Provide cross-functional administrative support to the PhD programme and handle ad hoc assignments
- Produce and update reports on cohorts, their development and monitoring indicators
- Manage and update research data dashboards, including the tracking of approved publication bonuses
- Provide administrative support in responding to the annual survey conducted by the Ministry of Higher Education, Research and Space
- Manage dashboards for faculty and research visiting-in and visiting-out assignments
- Work as part of a multi-campus team and organise collaborative work to share best practices and knowledge
Requirements
What you’ll need- Experience in an administrative assistant role (academic administration experience would be an advantage)
- Experience organising events
- Strong interest in teaching and research activities, with industry experience
- Two-year post-secondary qualification or equivalent (minimum)
- Fluent English is essential
- Proficiency in office software and database tools
- Openness to information and communication technologies (ICT)
- Service-oriented approach and responsiveness
- Excellent interpersonal skills
- Thoroughness and strong organisational skills
- High level of commitment and availability
- Adaptability and ability to work in a multicultural environment
