About the role
Key responsibilities & impact- Ensure correct application of Company Procurement Procedures and Policies
- Create and monitor purchase orders and process requisitions accurately and promptly
- Support new supplier setup and onboarding, including document requests and purchase order creation
- Maintain the ERP system, currently SAP ByDesign, and supplier databases
- Maintain stock trackers and upload them weekly to the ERP system
- Analyse, coordinate, and record procurement data to ensure timely arrival of production and business materials
- Monitor the Quick Quotes Inbox and distribute forms to requesting departments
- Support and lead end-to-end procurement tenders and RFQs
- Oversee low- and high-value procurement projects, especially projects exceeding £30K, ensuring compliance with company policies and the Procurement Act 2023
- Perform supplier evaluations and risk assessments
- Support vendors, suppliers, and service providers; review terms and secure favourable terms and cost efficiencies
- Support contract renewal negotiations and manage Buy at Risk contracts
- Manage supplier insurance documentation and update contract registers and legal contract systems
- Attend bi-weekly Contract Register Meetings
- Provide accounts payable support and resolve invoice/purchase-order discrepancies
- Coordinate monthly reporting and procurement-data reconciliation with Finance
- Track inventory runout, historical receipts, and data integrity
- Collaborate with Procurement on stock management, standardisation, cost savings, and supplier consolidation
- Analyse procurement data to improve efficiency, reduce stock variability, and leverage bulk purchasing
- Assist Quality Assurance with eQMS tasks and documentation
- Lead quarterly account meetings with Banner and investigate departmental queries or complaints
- Perform other duties commensurate with the role
Requirements
What you’ll need- Previous experience of working in a purchasing/procurement role within a fast-paced and dynamic environment
- Experience of procuring through PCR2015 and Procurement Act 2023
- Experience collaborating daily with packaging and raw material suppliers to track lead times on open orders
- Experience reviewing and coordinating contract negotiations
- Experience managing the efficient supply of special and custom design components and consumables
- Experience managing contracts and supplier renewals
- Experience running end-to-end tenders and RFQs
- Good knowledge of the Procurement Act 2023 and tender procedures
- Understanding of financial governance, legal requirements, and procurement strategies
- Proficiency in Microsoft 365 applications and general IT systems
- Minimum of three A levels (grades A*–C)
- Willingness to travel as required by the role
