About the role

Key responsibilities & impact
  • Provide administrative support to division leaders
  • Act as the central point of contact for departmental associates and external contacts
  • Guide and process clinical schedules for providers within assigned divisions
  • Build EPIC scheduling templates and submit them to the enterprise templating team
  • Complete and submit provider call schedules
  • Submit planned and unplanned clinic cancellations
  • Coordinate surgical schedules with Outlook schedules
  • Manage administrative leaders’ schedules according to priorities and time efficiency
  • Handle incoming calls and provide assistance and information
  • Page physicians as appropriate for the provider-to-provider line
  • Coordinate airline reservations, hotels, auto rentals, and conference registrations for providers
  • Prepare correspondence, reports, and PowerPoint presentations
  • Complete occasional special projects for Division Chiefs and administrative leaders

Requirements

What you’ll need
  • High School Diploma
  • Minimum 3 years of job-related experience required
  • Knowledge of the overall function of responsibility, the organization’s mission, structure, and culture
  • Proficiency with EPIC system for building provider schedule templates
  • Proficiency with Microsoft Word, Excel, PowerPoint, and Outlook
  • Ability to coordinate provider clinical, call, surgical, and administrative schedules
  • Ability to coordinate business travel arrangements and conference registrations
  • Ability to handle incoming calls, provide information, and page physicians appropriately
