About the role

Key responsibilities & impact
  • Support management and oversight of one or more fellowship training programs in accordance with ACGME, specialty boards, and subspecialty boards
  • Provide administrative assistance to program leadership and fellows
  • Develop and implement division, department, and institutional procedures and policies
  • Coordinate fellowship recruitment and trainee application processes, including screening, credential verification, interviews, correspondence, and records
  • Coordinate trainee licensing, insurance, HIPAA training, immunizations, background checks, drug screening, orientation, and system access
  • Maintain trainee and faculty scholarly activity and prepare annual accreditation documentation
  • Support residency/fellowship committees by developing agendas, recording minutes, and implementing decisions and actions
  • Create rotation and departmental education conference schedules and track off-site rotations
  • Facilitate trainee checkout, exit interviews, and final evaluations
  • Assist with GME reimbursement data collection and maintain affiliation agreements and PLAs
  • Maintain fellow information in New Innovations and other GME databases
  • Support fellowship budgets, expense tracking, travel check requests, education allowances, funding research, and new program initiatives
  • Coordinate special events including retreats, graduations, banquets, and orientation
  • Provide backup to the Fellowship/Visiting Student Coordinator

Requirements

What you’ll need
  • Bachelor's Degree or equivalent experience required
  • 1-3 years of related experience in graduate or undergraduate medical education
  • Must ensure house staff are appropriately licensed, insured, HIPAA trained, immunized, and compliant with background check and drug screening
  • Knowledge of ACGME, specialty boards, subspecialty boards, RRC, ABP, NRMP, ERAS, and AAP requirements and processes
  • Ability to manage fellowship trainee applications, credentials, interviews, records, schedules, accreditation documentation, budgets, and databases
  • Ability to use or coordinate access to Epic and hospital systems
  • Ability to advise fellows regarding licensing, visa sponsorship, and examinations
