About the role
Key responsibilities & impact- Coordinate event and meeting setups and breakdowns, including tables, chairs, podiums, staging, and equipment
- Prepare event spaces with layouts, signage, technology readiness, and cleanliness
- Perform physical event-support tasks, including moving and arranging furniture and equipment
- Maintain inventory of event-related supplies and ensure proper storage and distribution
- Communicate conference-room request status to internal and external customers
- Resolve room-request conflicts and suggest alternate meeting locations or options
- Own the reservation-request process and system
- Run administrator reports and help improve Conference Center processes, space usage, and policies using data
- Provide onsite support for facilitators and presenters
- Greet and direct Conference Center customers and visitors and answer questions
- Direct catering and audio/video questions to appropriate contacts
- Ensure schedules, rooms, amenities, equipment, and supplies are operational and troubleshoot audio/video issues
- Manage the atrium and Support I lobby, including organization and presentation
- Direct calls, visitors, and deliveries to appropriate recipients
- Check and sign off on new-hire paperwork delivered to Recruitment
- Create badges for employees, contractors, and visitors as backup for Security
- Support system meetings and events across multiple buildings while delivering customer service in a high-volume environment
Requirements
What you’ll need- Experience in hospitality or event coordination
- Experience supporting in an administrative capacity
- Minimum 2 years of experience in hospitality, events, and/or supporting in an administrative capacity (preferred qualification)
- High school diploma or equivalent
- Ability to lift up to 40 lbs and perform bending, carrying, pushing, pulling, standing, and walking for extended periods (4–6 hours daily)
- Ability to read and execute room setup diagrams accurately
- Excellent grammar, vocabulary, and communication/speaking ability
- Superior customer service and problem-solving skills
- Strong administrative skills
- Typing speed of 45 words per minute
- Proficiency with Microsoft Outlook and Microsoft Suite tools
- Occasional nights, weekends, and holidays required on a rotating basis
- Overtime generally expected, with an average workweek of approximately 45 hours
