About the role

Key responsibilities & impact
  • Coordinate administrative duties related to surgical operations, including surgery scheduling, patient records, post-surgical data entry, and surgical equipment scheduling
  • Coordinate complex appointment scheduling for pediatric specialties, including consults and ancillary services
  • Schedule patient appointments, surgical cases, specialized diagnoses, physicians at outside facilities, procedures, equipment, and other resources
  • Coordinate combined surgical cases with physician practices across the organization
  • Manage department and provider surgical case calendars
  • Interview patients and families to obtain demographic and financial information
  • Ensure questionnaires and forms are completed before surgery
  • Enter data for registration, billing, patient tracking, charge capture, and reconciliation
  • Complete case order requests, including CPT codes and resource or equipment requests
  • Confirm insurance coverage and obtain surgical procedure authorizations
  • Lead surgical cases and collaborate with teammates and hospital departments on authorization
  • Initiate appeals to insurance payors for denied surgical cases when needed
  • Participate in the agent phone system and handle surgery scheduling calls
  • Assist with nurse/doctor calls and provide messages for patient follow-up

Requirements

What you’ll need
  • One to three years of experience in surgery scheduling or complex scheduling in a healthcare setting
  • Experience using computerized surgery scheduling systems
  • Preferred: Two years of experience in provider scheduling in a multi-specialty setting
  • Preferred: Experience in Epic Cadence or comparable EMR
  • High school diploma or equivalent
  • Excellent verbal and written communication skills
  • Excellent organizational skills
  • Able to handle stressful work situations and conflicts with professionalism
  • Interviewing and interpersonal skills to interact with patients, families, and members of the healthcare team
  • Consistent high-quality performance related to scheduling and call handling
  • Excellent customer service skills
  • Critical thinking skills
