About the role

Key responsibilities & impact
  • Assist with coordination of certification exam development projects and meetings
  • Maintain project timelines, schedules, and tracking tools
  • Prepare meeting materials and support virtual and in-person exam development workshops
  • Track exam development activities and follow up on outstanding action items
  • Maintain accurate exam development records and documentation
  • Enter and update information in certification and volunteer management systems
  • Assist with quality control reviews and administrative checks of exam-related materials
  • Follow procedures supporting exam security and confidentiality
  • Communicate with volunteer subject matter experts
  • Coordinate volunteer onboarding and training logistics
  • Schedule meetings and maintain volunteer participation records
  • Monitor shared email inboxes and respond to routine inquiries
  • Maintain volunteer records and support recruitment efforts
  • Provide customer service to volunteers, candidates, vendors, and internal stakeholders
  • Escalate complex issues to the Director, Test Development
  • Back up the Senior Office Administrator by processing volunteer recognition activities and recertification credit requests
  • Collect and organize candidate and volunteer feedback
  • Prepare reports, spreadsheets, and tracking documents
  • Support logistics for meetings, workshops, and special projects
  • Identify opportunities to improve administrative processes and operational efficiency
  • Participate in training and professional development activities

Requirements

What you’ll need
  • Associate's or bachelor's degree preferred; equivalent combination of education and experience will be considered
  • 3+ years of administrative, customer service, project coordination, or related experience required
  • Experience supporting projects, events, volunteers, customers, or administrative processes required
  • Experience with databases, CRM systems, learning management systems, or volunteer management systems required
  • Understanding and sensitivity to cross-cultural interactions through work, education, and personal experiences required
  • Strong organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Ability to follow established procedures and maintain accurate records
  • Ability to manage multiple tasks and prioritize work effectively
  • Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and Teams
  • Ability to work independently and as part of a collaborative team
  • Strong customer service and interpersonal skills
  • Ability to learn new systems, processes, and industry concepts
  • Reliable follow-through and commitment to meeting deadlines
  • Candidates must live within 50 miles of the headquarters office in Alexandria, Virginia
  • Ability to work approximately 4–5 weekends per year in person between April and November
