About the role
Key responsibilities & impact- Provide administrative and operational support for one or more Financial Advisors
- Serve as a liaison between Financial Advisors and clients
- Answer incoming calls, organize filing systems, coordinate schedules, and prepare correspondence and documents
- Send requested and required forms to clients
- Assist Financial Advisors with client support and time management
- Process confidential information
- Open, maintain, and service client accounts
- Follow up on missing paperwork
- Process new accounts and files
- Perform daily business processing, including department mail and processing checks and securities
- Maintain client and mailing databases
- Update Financial Advisors’ calendars
- Research and resolve client problems
- Provide quote information and mutual fund trade entry
- Accept unsolicited mutual fund and money market investment direction from clients
- Coordinate and assist with client events through marketing, mailing, follow-up, and on-site event assistance
- Work with operations on account maintenance and client instructions
- Complete department projects
- Maintain the client scanning system
- Balance settlement accounts and review trade blotters
- Review and notify Financial Advisors of new referrals
- Keep current with regulation changes
- Coach, mentor, or train others and teach coursework as a subject matter expert when asked
- Foster Columbia’s corporate culture and support its vision to become “Business Bank of Choice”
- Perform other duties as assigned
Requirements
What you’ll need- 3 years of experience as an assistant in the financial services industry or a related field (Required)
- Subject matter expert in investment concepts and terminology, including investment vehicles, transaction types, and securities clearing systems
- Highly proficient with Microsoft Office Suite
- Self-starter with initiative
- Able to work independently or with limited supervision while working closely with clients and Financial Advisors
- Able to prioritize and effectively manage multiple tasks at once
- Strong data entry, reading, and comprehension skills
- Ability to process confidential work
- Ability to work fully onsite at posted location(s)
- Compliance with bank regulations, policies, procedures, and required annual or job-specific training
- Working knowledge of Bank Secrecy Act, Regulation CC, Regulation E, Bank Security, and other applicable regulations
