About the role

Key responsibilities & impact
  • Provide smooth and efficient administrative support to assigned leaders
  • Manage multiple complex executive calendars and scheduling requirements
  • Coordinate travel, meetings, conferences, visas, passport renewals, and security arrangements
  • Maintain confidential records and administer programs such as Concur
  • Exercise judgment in business/function programs and special projects
  • Manage expenses and office purchases using a P-Card
  • Plan events for small and large groups, including food, supplies, agendas, and materials
  • Create meeting calendars, reserve conference rooms, and send team meeting notices using WebEx
  • Prepare clear, accurate, and concise records, reports, presentations, and materials
  • Establish effective relationships with staff, customers, and other contacts
  • Respond to inquiries and take action on the Executive's behalf when appropriate
  • Maintain office supplies and breakroom inventory
  • Perform other duties as assigned

Requirements

What you’ll need
  • Bachelor's degree (B. A.) from four-year college or university preferred
  • 2+ years of administrative experience supporting C Level Executives
  • Knowledge of technical products and user applications
  • Highly proficient in Microsoft Office applications
  • Strong organizational and communication skills
  • Reasoning abilities and analytical thinking
  • Successful multi-tasking
  • Ability to function with some ambiguity and without close management
  • Strong written, oral, and presentation skills
  • Strong interpersonal relationship skills
  • Proficient in computer-related skills
  • Ability to maintain strict confidentiality
