About the role

Key responsibilities & impact
  • Research commercial properties, vendors, and service providers in markets across the country.
  • Contact prospective vendors and service providers by phone and email, obtain quotes, and organize findings for review.
  • Coordinate with vendors, property contacts, and internal staff to address facility needs and keep projects moving.
  • Assist with new office openings, relocations, furniture and equipment setup, and other facility-related projects.
  • Maintain organized facility records, including vendor information, contracts, inventories, and compliance documentation.
  • Create and maintain internal trackers, workflow documents, reports, and operational records.
  • Assist with correspondence, document organization, file management, and task tracking.
  • Gather information and prepare clear, organized summaries for leadership review.
  • Track assigned projects through completion and proactively communicate updates, challenges, or delays.
  • Provide additional operational and administrative support as business needs evolve.

Requirements

What you’ll need
  • Strong written and verbal communication skills, including confidence in conducting outbound calls and communicating with external business partners.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple projects, priorities, and deadlines.
  • Self-motivated, resourceful, and comfortable working independently.
  • Willingness to take initiative, research solutions, and troubleshoot routine issues.
  • Comfortable learning and working across multiple software platforms.
  • Ability to travel up to 20% as needed for new site openings and facility projects.
  • Previous experience in facilities coordination, office administration, vendor management, or operations support is preferred but not required.
