About the role

Key responsibilities & impact
  • Manage the day-to-day operations of the Madrid office
  • Serve as the first point of contact for employees and liaise with IT, Finance, HR and other internal teams
  • Manage office-related vendors, documentation and payments in line with Finance processes
  • Maintain relationships with building management and address office issues
  • Monitor and manage employee access cards
  • Coordinate with IT to maintain laptops, desk equipment and mobile phones
  • Support onboarding, leavers and movers, including office setup and orientation
  • Support office lease management and track key deadlines
  • Coordinate with the Health and Safety provider to ensure compliance with Spanish occupational risk legislation
  • Maintain a clean and safe office environment
  • Track environmental information and support company environmental initiatives
  • Collaborate with Global Workplace Services to share best practices and improve processes
  • Plan internal employee events and manage attendance and budgets
  • Arrange office access and local travel for visiting employees and executives
  • Coordinate internal and external events and manage logistics
  • Oversee catering services for meetings and events
  • Write and distribute employee communications
  • Maintain Madrid office intranet content and internal documentation
  • Perform general administration and ad-hoc tasks, including filing documents and maintaining records

Requirements

What you’ll need
  • Fluency in Spanish and English – written and spoken
  • Organised and diligent, with good time management skills
  • Flexible, able to adapt and manage change
  • Strong communication skills and ability to build trust and rapport with stakeholders across various levels
  • Ability to use own initiative, proactively find solutions and own key decisions on office operations
  • Ability to work in a busy and fast-paced professional environment
  • Punctual and responsive
  • High attention to detail
  • Ability to manage small workplace projects and events to agreed timelines and budgets
  • Strong experience using MS Office 365 products
