About the role

Key responsibilities & impact
  • Process, catalogue, store, scan and upload physical and digital documents
  • Manage document lifecycles, including creation, revision, approval, distribution and archiving
  • Maintain structured folder systems, naming conventions, metadata and document attributes
  • Track document-control status and ensure project timescales are met
  • Register, track and distribute documentation submissions for approval, including comment sheets and RFIs
  • Transfer key deliverables between iCosnet/ProjectWise and TW Business Collaborator according to the Information Management Plan and document-control process
  • Update registers, trackers, drawing numbers and hyperlinks
  • Support framework trackers and reports, including MIDP, Gate, Docusign, SCO and Thames Water reports
  • Liaise with project teams, departments, external partners, the Contract Team, Core Team, supply chain and client
  • Coordinate distribution to ensure current document versions are accessible
  • Highlight deadlines and outstanding actions
  • Promote correct filing of relevant emails and provide reports
  • Ensure compliance with company policies, project requirements and industry regulations
  • Review and audit documentation processes and storage; assist the Quality Assurance Manager with quality assurance and continuous improvement
  • Maintain confidentiality, integrity, version control and accurate revision histories
  • Record disposed or archived paperwork and complete ad-hoc tasks as requested

Requirements

What you’ll need
  • Valid driving licence required due to remote site locations
  • GCSE level English
  • Previous experience in document control, administrative support, or a technical clerk role preferred
  • Familiarity with document control software and database systems
  • Self-motivated
  • Team player, forming effective partnerships
  • Highly organised with excellent attention to detail, ability to plan and prioritise
  • Strong communication skills with ability to be assertive, particularly when enforcing standards
  • A "can do" attitude
  • Good IT skills
  • Proficient in Microsoft Outlook, SharePoint, Word, Excel, PowerPoint, Visio and document management systems
  • Knowledge of ProjectWise highly desirable
  • Willingness to attend sites and the office a minimum of 3 days per week
