About the role

Key responsibilities & impact
  • Collect, validate, and organize data requested by the National Institute of Statistics and other government or regulatory bodies
  • Submit accurate and complete information on time according to reporting calendars and legal requirements
  • Maintain records of submitted reports and correspondence with authorities for audit and compliance
  • Monitor legislative and procedural changes related to data reporting and flag impacts on obligations
  • Coordinate physical and electronic document archiving, including classification, indexing, storage, and retrieval
  • Develop and maintain document retention systems aligned with internal policies and legal retention periods
  • Oversee secure destruction or deletion of obsolete documents in accordance with data protection and confidentiality rules
  • Ensure the integrity, confidentiality, and traceability of archived materials
  • Maintain documentation for fixed assets, including acquisitions, transfers, disposals, and depreciation
  • Support internal teams with asset registers and documentation for audit and financial reporting
  • Ensure consistency between physical asset records, accounting data, and related documentation
  • Prepare periodic status reports covering completed activities, work in progress, and upcoming deadlines
  • Maintain logs and indexes of archived or submitted documentation
  • Issue compliance reports confirming submissions to government bodies
  • Flag risks, issues, and delays with proposed corrective actions

Requirements

What you’ll need
  • Completed higher education (Economics, Business Administration, Public Administration, Law, or a related field)
  • Minimum 2 years of experience in accounting, administrative, back-office, reporting, or document management roles
  • Hands-on experience with reporting to public authorities; experience with Romania's National Institute of Statistics is a strong plus
  • Solid MS Excel skills, including formulas, filtering, and pivot tables
  • Proficiency in MS Office
  • English language skills at an intermediate-to-advanced level, for written and verbal communication with international teams
  • Rigor and attention to detail, with ability to work with large volumes of documents
  • Ability to organize own work independently and consistently meet deadlines
  • Experience with physical and digital archiving and knowledge of document archiving regulations
  • Basic accounting knowledge, particularly fixed asset records and depreciation
  • Prior experience in a multinational corporate environment or outsourced services projects
  • Certified archivist training/qualification
  • Experience with ERP systems such as SAP or Oracle, or document management platforms
