About the role
Key responsibilities & impact- Type, transcribe, and revise communications and legal documents, including memoranda, correspondence, court filing documents, charts, and tables
- Prepare and submit electronic filings in federal and state courts
- Proofread work for typographical and grammatical errors
- Provide litigation support, including filing and submission documents, hearing and exhibit preparation, court reporter coordination, courtesy copies, and transcript ordering
- Maintain attorneys’ calendars and support meeting preparation, follow-up, confirmations, and Microsoft Teams meetings
- Make travel arrangements for assigned attorneys
- Organize and maintain electronic and paper client and office files
- Use the firm’s docketing program and enter required schedules and dates
- Track, compile, organize, and submit expense reimbursements and vendor invoices in Chrome River
- Assist with closing files according to department protocol
- Coordinate client and guest meetings, including breakfasts, lunches, and dinners
- Reserve conference rooms for depositions and meetings, confirming videoconferencing needs and attendee numbers
Requirements
What you’ll need- Must have at least 5-7 years legal and/or executive secretarial experience
- Extensive and thorough working knowledge of software applications, preferably iManage/DeskSite/WorkSite, Word, PowerPoint, Excel, InTapp, Big Hand, Docket Enterprise, DTE, and ChromeRiver
- Prior demonstrated experience with court electronic filings in federal and state courts
- E-filing experience in the state or federal courts in Illinois, California, New York, Florida, and Pennsylvania is required
- Proficient in advanced levels of Microsoft Outlook, Teams, Excel, and Word, including Styles, Redlining, Adobe Pro, and PDF Docs4; or ability to operate the Firm’s software applications at an advanced level within a reasonable period of time
- Typing skills of 60+ w.p.m.
- Detail-oriented with strong organizational skills and ability to multitask and problem-solve
- Outstanding written and verbal communications; ability to interact professionally with clients, attorneys, and staff
- Flexibility to support primary attorneys and any attorney within the Emerging Data Privacy Trends Team
- Required to be in office at least 3 days per week
- High School Diploma or its equivalent required
