About the role

Key responsibilities & impact
  • Own vendor, contract, and systems operations for the Marketing team
  • Serve as day-to-day point of contact for vendor contract management, agency management, and systems and workflow management
  • Partner with Marketing managers, Project Management, and Legal to keep contracts on schedule and maintain workflow structures
  • Identify workflow friction and pilot AI-assisted tools to reduce repetitive work
  • Serve as primary contact for vendor information requests, diligence forms, and contract logistics
  • Source, onboard, and schedule contractors and freelancers
  • Coordinate agency, talent, and creator/influencer partnerships, including fulfillment and collaboration with the User Acquisition team
  • Organize marketing assets in the digital asset management system and retrieve materials by date range
  • Fulfill audit requests by gathering and organizing relevant documentation with Legal and Marketing managers
  • Maintain and improve project management systems
  • Use data such as spend, turnaround times, and delivery dates to prioritize improvements
  • Report to the Manager, Marketing Operations & Production

Requirements

What you’ll need
  • 3-5 years of project management experience
  • 3-5 years in-house or at an agency, working directly in or closely with creative production
  • Hands-on experience with project management systems such as Jira or Confluence
  • Highly organized and detail-oriented, with flexibility to adapt to rapid and ongoing change
  • Ability to prioritize and manage multiple projects in a fast-paced environment and stay effective under pressure
  • Resourceful and proactive; quick learner who thinks ahead
  • Ability to work well with people across many roles, bringing a positive, empathetic approach to managing project teams
  • Excellent written and verbal communication skills
  • Experience managing agency or vendor invoicing and contracts (nice-to-have)
  • Experience with creator or influencer partnership logistics (nice-to-have)
  • Experience using AI tools to automate repetitive operational work (nice-to-have)
  • Must be permanently authorized to work in the United States without visa sponsorship
